1. Introduction

At RDAB we care about your privacy. This policy explains what personal information we collect, why we collect it, how we protect it, and the rights you have under UK law. We are a volunteer-led fan community. The RDAB App supports our events and reward systems, and we only collect the minimum information necessary for these features.

2. What We Collect

We may collect the following information when you use the RDAB App:

  • Trainer username (in-game name).
  • Campfire username (if provided).
  • A memorable password and PIN (chosen by you).
  • Avatar choice and passport progress (stickers, stamps, events).
  • Attendance at meetups or events.
  • Limited account data for under-13s with verified parental consent.

3. How We Use Your Data

We use this information to:

  • Let you sign in and access the app.
  • Track passport progress, stamps, and rewards.
  • Verify attendance at community meetups and events.
  • Keep the app and community safe, fair, and functional.

We do not use your information for advertising, and we never sell your data.

4. Who Can See Your Data

  • Only RDAB admins have access to your data.
  • Your data is never shared with third parties outside the community.
  • Access is restricted and logged to ensure accountability.

5. GDPR Compliance (UK and EU Users)

Under UK GDPR and EU GDPR you have the right to access, correct, delete, restrict, port, or object to the processing of your personal data.

Lawful basis for processing:

  • Consent – when you create an account (or when a parent provides consent for a child under 13).
  • Legitimate interest – to keep the app safe, secure, and working properly.

Data retention: we keep your data only as long as needed to operate the app and community. If you leave, you can request deletion of your account and data.

6. Security

Data is stored using trusted services such as Google Cloud, Google Sheets, and secure databases. Measures are in place to prevent unauthorised access, alteration, or misuse. As a community-run project we cannot guarantee absolute security, so parents and guardians should monitor children’s use of the app.

7. Children and Parental Consent

  • Children under 13 may only use the app with parental consent.
  • Data for children’s accounts is limited to the bare minimum (trainer username, PIN, parental contact).
  • Parents can review or withdraw consent at any time and may request deletion of their child’s account.

8. Your Rights

You can ask for a copy of your data, request corrections, request deletion, or withdraw parental consent. Requests will be handled as quickly as possible by the admin team.
